Inviting a user to the team

Invite teammates or clients to a UserTrail site and choose the right permission level.

Before you invite someone

Invite users when they need their own access to a site. Do not share logins. Separate accounts make permissions easier to manage and help keep analytics data secure.

Before sending an invite, decide:

  • which site they need access to
  • whether they need read-only or admin access
  • whether they should see recordings and reports
  • whether the access is temporary

Send an invitation

To invite a user:

  1. Open the site in UserTrail.
  2. Go to the team or user management area.
  3. Enter the user's email address.
  4. Select the permission level.
  5. Send the invitation.

The recipient receives an email invite. They should accept it using the same email address that was invited.

Choose a permission level

Use the lowest permission that gives the user what they need.

Common choices:

  • Read for clients, stakeholders, and report viewers.
  • Write for users who need to create or edit analytics objects.
  • Admin for users who manage settings and access.

Admin access should be limited to trusted users.

Pending invitations

If an invite has not been accepted, check that the email address is correct and ask the recipient to check spam or promotions folders.

If needed, resend the invitation. Remove old invitations that are no longer required.

After the user joins

After the user accepts, confirm they can see the expected site and features. If they cannot see the site, check that the invite was accepted with the correct email address.

Review team access periodically, especially for contractors, clients, and former employees.

Best practices

  • Give every user their own account.
  • Use read-only access for most client users.
  • Keep admin access limited.
  • Remove access when it is no longer needed.
  • Review pending invitations regularly.
